Fulfilment is the product after payment

On Ordafy, a paid order is only the start. Smooth ops—picking, packing, collection, delivery, or digital delivery—protect reviews and reduce refunds. This is retail and service operations, not festival door scanning.

Prepare before you go live

Confirm stock in Inventory, variants in Products, and policies on each listing. Train whoever will touch Orders so statuses mean the same thing to everyone.

Use Orders as the source of truth

Work from Ordafy Business → Orders. Update status as you progress (paid, preparing, ready, fulfilled, or cancelled). Customers and your team should not rely on informal chat alone.

Inventory discipline

When an item sells on Shop or POS, inventory should reflect reality. Reorder points and accurate counts prevent overselling popular SKUs. See inventory basics.

Pickup, delivery, and digital delivery

Write clear collection windows or delivery postcodes on the listing. For digital goods, confirm how and when files or access codes are sent—and mark the order fulfilled when done.

Staff the right roles

Give shop-floor staff Sales or Member access as needed; keep Financials and Payouts with Finance, Admin, or Owner. Least privilege keeps ops fast and safer.

Busy periods and bottlenecks

Watch order queues during promos. If POS and Shop spike together, pause non-essential campaigns or increase prep capacity before you accept more volume.

Review after peak days

Use Analytics and Reports to find delayed fulfilments, refund reasons, and SKUs that always sell out. Fix process before the next campaign.

Frequently asked questions

Is Ordafy order management the same as event check-in?

No. Orders track product commerce fulfilment. Bookings handle service appointments. There is no QR event door flow here.

Can POS and Shop share the same stock?

Yes—that is the point of one catalogue. Keep Inventory updated so both channels stay honest.

Where do service appointments go?

Manage them under Bookings, not Orders. See bookable services and bookings.
