Inventory is a promise to the buyer

When Ordafy Shop or POS accepts an order, your Inventory count should match what you can fulfil. Accurate stock is the cheapest way to cut refunds.

Set up products with countable stock

In Products, define variants that need separate counts (size, colour, kit). Attach on-hand quantities and keep a simple receiving process when supplier deliveries arrive.

One catalogue, two channels

Shop and POS should not maintain rival spreadsheets. Sell from the Business catalogue so both channels decrement the same truth.

Operational habits that work

  • Recount hero SKUs weekly.
  • Pause listings when stock hits zero instead of taking “maybe” orders.
  • Train Team members to update status when items are damaged or reserved.
  • Review sell-through in Analytics after promotions.

Digital products

Digital goods may not need warehouse counts, but you still need delivery capacity and licence limits if applicable—state them on the listing.

Frequently asked questions

Do services use Inventory?

Bookable services are capacity and calendar problems more than SKU stock. Manage them in Services and Bookings.

What if POS sells the last unit?

Inventory should reflect it so Shop cannot sell a ghost unit. If sync looks wrong, stop selling that SKU until counts are corrected.

Where should I start?

Create your first product, then maintain Inventory as part of weekly ops with fulfilment best practices.

Count what matters this week

Pick your top 10 SKUs, verify on-hand amounts, and align Shop availability. Become a provider if you still need a catalogue.
